What are collaborators and how can I invite or add one?

Learn how to invite collaborators, understand their roles and permissions, and manage them as an event owner.

Collaborators are people you invite to help manage your event. They can access the event dashboard and manage settings, media, or billing, depending on the role you give them.

Guests are different. They upload photos, videos, or text posts using a QR code or album link and do not need to sign in or access the dashboard.

Collaborators must be invited by email and accept the invitation before they can access the event.


Collaborator Roles & Permissions

Each collaborator is assigned a role that defines what they can do inside the event.

The Owner has full control over the event. This includes deleting the event, managing collaborators, managing billing, and editing both settings and media.

An Admin has almost full access. Admins can manage collaborators, billing, settings, and media, but they cannot delete the event.

A Manager can edit event settings and manage media, including adding, updating, deleting, and approving uploads. Managers cannot manage collaborators, access billing, or delete the event.

A Moderator can only manage media. This includes adding, updating, deleting, and approving photos and videos. Moderators cannot edit settings, manage collaborators, access billing, or delete the event.


How to invite or add a collaborator

You can invite collaborators directly from your dashboard.

Go to the Event Settings>Collaborators, enter the person’s email address, select their role, and send the invitation. Once sent, the collaborator will appear with a Pending status until they accept. Collaborators can only be added by email.


How a collaborator accepts the invitation

The invited collaborator receives an email from Kululu inviting them to help manage your event. If they don’t see the email, they should check their spam or junk folder.

By clicking the Accept Invitation button in the email, they are taken to a page to complete the process. From there, they can either sign up or sign in related to if they are new users or already users.

New users complete the sign-up by entering their name and creating a password. Existing Kululu users sign in their usual login details on the invitation page.

Once this step is completed through the invitation page, the collaborator’s status changes from Pending to Active, and they can access the event.


Managing collaborators as an event owner

Once a collaborator is active, you can manage them from the Collaborators section of your event.

You can change a collaborator’s role at any time to give them more or fewer permissions. You can also remove a collaborator by clicking the red bin icon next to their email.

Removing a collaborator immediately removes their access to the event. You can invite multiple collaborators to your event.
